How do I send a carbon copy to another clinician?

Telephone Dictation Process:

During telephone dictation, dictate the carbon copy (CC) recipients at the beginning of the dictation.  If you have the eSignature role, you can also add these within the eSignature application before signing.  During FESR document creation, add your carbon copies (CC) before signing the document.

If a CC is required after the telephone dictation is complete, call back into the dictation system with the same facility, work type, patient information and indicate that you would like the additional CC added to the original document you just dictated.  You can also contact Transcription Services to add the additional CC.

If a CC is required after you have signed your document, follow the document revision/addendum process outlined in "How do I edit a report".

When requesting CCs for your report, please ensure you include the recipient's full name (first and last, spelling if a difficult name), specialty, and the city of practice and/or the clinic/team's full name. There are many recipients and teams (i.e., Mental Health Team) with the same or similar name in the Lower Mainland and spelling the name will prevent the report from being delayed.  

For clinicians using electronic signature (Cerner, CAIS, M*Modal)

Please add in your CC recipients prior to electronic signature based on your established site process.

CW If you need to add CCs after the report is transcribed; you can add additional Reviewers (CCs) in Message Centre. Please note: Result Status must be = Transcribed

 

Before you add additional reviewers, check the 'Action List' to confirm who will receive a copy once signed.


Select 'Additional Forward Action' check box in the Action Pane. 


Select from the dropdown 'Review' or 'Sign' and then search for additional Reviewers in the 'To:' field and add the recipient.

Click 'OK & Next' for your CCs to show up in the body of the report.

 

For all other clinicians

Call Transcription Services. Contact information can be found on the HIM intranet site(Hospital network access required.)

 

Introductory statement:


  1. Dial the internal Local or 1-855-666-3240
  2. Enter you Dictation ID, followed by the # key
  3. Enter the Facility code, followed by the # key
  4. Enter the Work Type, followed by the # key
  5. Enter the MRN or Visit number, followed by the # key
  6. Begin dictating by giving your first and last name and the first and last name of your preceptor, if applicable
  7. Dictate two patient identifiers including name and MRN or Visit/Encounter #.  Date of birth and PHN are helpful
  8. Dictate the site where the patient was seen
  9. Dictate the Date of Clinical Service
  10. Begin dictation
