Who are considered prohibited CC recipients?

Standard distribution of the document will be to the Dictating Author (exception for BC Cancer, Forensics) and family physician (exception for Forensics).  Excelleris (document distribution vendor) will distribute copies of the document after it has been finalized/signed to clinical care providers or institutions/facilities (CC recipients) as requested by the author at the time of telephone dictation or added at time of FESR creation, providing that the author clearly identifies the CC recipient. 

If Transcription Services is unable to identify with certainty the CC recipient from the information given by the author, a disclaimer will be added to the report, and the document will not be distributed to that particular recipient.  It is then the responsibility of the Author to forward.  Some recipients are prohibited for privacy reasons; they are listed below.

Prohibited Recipients

Currently the policy of Transcription Services is to not forward a copy of the report or transcribe letters to:

  • Canadian Medical Protection Association
  • College of Physicians and Surgeons
  • Coroners (ROI will release up on receipt of an order to seize)
  • Directly to Patients (exception C&W, SHHC, BCCA via "patient copy" CC going through my ehealth)
  • Directly to Family members of the patient/Legal Guardian of Patient (exception C&W, SHHC, BCCA via "patient copy" CC going through my ehealth)
  • Employers
  • Fellows, Residents and Medical Student Interns (MSI)
  • ICBC
  • Immigration Office
  • Insurance Companies
  • Lawyers
  • Medical Services Plan (MSP)/PharmaCare
  • Motor Vehicle Branch
  • Nurses (RNs) at FHA
  • Physicians outside of BC – prohibited at FHA only with some exceptions to Whitehorse and Alberta.  Only providers that are entered in the Meditech Provider Dictionary will get a copy
  • Physicians outside of Canada - prohibited at FHA and PHSA - CW (NOTE:  For all other HAs/sites, Excelleris will deliver reports outside of Canada by mail and encourage recipient to be set up with Excelleris LaunchPad access)
  • Physicians without an office (includes Hospitalists, and retired physicians who no longer have a practice)
  • RCMP
  • Requests by the dictating physician for extra copies of the transcribed report will not be processed
  • Requests to forward completed transcribed reports to physicians not originally sent copies from anyone other than the dictating authors will not be processed through Transcription Services (see Release of Information Policy)
  • Schools (with no specific health care professional identified)
  • Sporting Associations
